What business owners should review each month

Month-end is not a ceremony. It is a short, repeatable list that keeps the file trustworthy. Use this as a starting point.

The businesses with the calmest year-ends are rarely the ones with the most sophisticated software. They are the ones who close each month. A closed month means the bank is reconciled, the obvious coding is done, and you could print a P&L without a disclaimer.

You do not need to close the books like a public company. You need a checklist you actually finish.

The list

Work top to bottom. If a step is blocked, note it — do not skip it and hope next month is cleaner.

  • Download or refresh bank and credit card feeds; add anything the feed missed
  • Categorize transactions. Split where a charge is part personal, part business
  • Match bill payments to bills; match customer payments to invoices
  • Reconcile every bank and credit card account to the statement
  • Review uncleared transactions — old cheques, unmatched transfers, duplicates
  • Scan the P&L for anything coded to the wrong account or the wrong month
  • Scan the balance sheet: GST/HST, A/R, A/P, owner accounts, loans
  • Save (or print to PDF) the P&L, balance sheet, and reconciliations for the month

What “done” looks like

Reconciliations cleared. GST/HST account explainable. No grey “uncategorized” pile. A P&L you would actually show someone. That is a closed month.

If this list takes an entire weekend, the file is carrying cleanup. That is the moment to look at catch-up bookkeeping or a Health Check — not to lower the standard so the weekend feels shorter.
