Aged receivables · 6 min
Who still owes you money?
Your aged receivables report is the fastest way to see which invoices are current, which are late, and which have gone quiet. Here is how to read it.
Most trade and service businesses do the work first and invoice after. That is normal. What is not normal is discovering, months later, that a job you finished in March is still sitting unpaid — and nobody has followed up because nobody has a clean list.
The aged receivables report (often called A/R ageing) is that list. It takes every open invoice and drops it into buckets by how old it is: current, 30 days, 60 days, 90 days, and older. If you only look at “who owes us money” as a gut feeling, this report replaces the guesswork.
What the columns are telling you
Current invoices are not a problem — they are the work you just billed. The 30-day column is the first reminder zone. Sixty days is where a polite process should already have kicked in. Ninety days and older is where invoices quietly become a cash-flow problem, and sometimes a collection problem.
Add the columns. That total is not revenue. It is cash that is still outside the business. If that number keeps growing while the bank balance feels tight, you do not have a sales problem. You have a collections problem — or a billing-delay problem.
How BlueNova Books uses it
On a monthly bookkeeping file, aged receivables is one of the first reports we look at. We want to know whether invoices are going out, whether payments are being applied to the right invoices (credits sitting unapplied make the report lie), and whether anything has been sitting so long it needs a conversation.
- Unapplied payments that make a customer look more overdue than they are
- Invoices coded to the wrong customer or job
- Credit notes that never got issued after a change order
- Retainage or deposit invoices that should be tracked separately
A practical habit
Once a week, open the report. Call anything over 30 days. Do not wait for month-end. Trades that get paid faster are rarely the ones with the loudest follow-up — they are the ones who look at the list on a schedule.
If you are doing your own books and this report looks messy, that is one of the first things a Bookkeeping Health Check will surface. Clean A/R is not a nicety. It is how you answer “who still owes us money?” without rummaging through email.
